Data and Health & Safety Policies

Information on our data security and health & safety policies

Café Sci understands its responsibility for the security and privacy of information it holds and for the well-being of our contractors and volunteer speakers.

We are registered with the Information Commissioner's Office (regn. number PZ149635X)

Types of information:

The only types of information we will ask you for are:

  • School details - name of school, address, phone number, url of school website
  • Staff co-ordinator contact name, phone number and email address
  • Student organisers’ names, phone numbers and email address (where student organiser teams exist)
  • Speaker’s name, email address and phone number

NB You may choose to withhold any piece of data you do not wish us to have.

Sharing information:

  • The contact information will be shared among the data users of Café Sci (the project director, project organisers and communications manager) but will never be shared beyond Café Sci without the express consent of the data subjects (see Website, below).

Information-handling

  • Transmission: when transmitted by email, the data will be sent as a password-protected attachment (e.g. spreadsheet).
  • Storage: we will store the data as password-protected documents on our personal computers. Documents will also be stored in a private, restricted and password-protected sub-web to the Café Sci website. No printed copies will be produced or stored.

Release

  • Data will not be shared beyond Café Sci without the subjects’ permission.

Website

  • Information publically available on the website will include school name, UK region, town and link to a school's website. With the express permission of the subject, we will also include the name of the staff co-ordinator (but not their email address).

Health and Safety

Café Sci is committed to ensuring the health, safety and welfare of its contractors, volunteer speakers, staff co-ordinators and student organisers. Our aim is that café sci events take place in a safe and secure atmosphere for everyone involved.

All schools must operate within the Health and Safety Executive guidelines. The school is therefore responsible for the health and safety of its pupils during Café Sci activities held in school.

Where pupils are invited to a venue other than the school they attend, the venue is responsible for health and safety. Café Sci will consult with the venue during planning of events and observe H&S and risk assessment procedures.

Risk Assessment

Café Sci has considered the risks involved in taking part in a café sci in school and has completed a risk assessment form. We consider the overall risk of taking part in Café Sci to be low. We will regularly review this risk assessment, which can be supplied to schools on request.
